Before you load: a 5-point truck check that prevents most transport problems
Quick answer

Before loading, check five things: 1) the truck's RC, permit, fitness certificate, insurance and PUC are all valid; 2) the driver's name and licence match the booking; 3) the body, floor and tarpaulins are in good condition; 4) the truck is not under loan default, so it cannot be seized mid-trip; and 5) tracking is switched on. These checks prevent most seizures, damage and delays.

Key points
  • Expired documents are the most common reason trucks get stopped.
  • Driver details must match the booking, for safety and accountability.
  • Torn tarpaulins and weak floors cause most water and load damage.
  • A truck under loan default can be repossessed with your goods on board.

Why checks matter before loading

Most transport trouble starts before the truck leaves your gate: an expired permit, a driver nobody can reach, a torn tarpaulin before the rain, or a truck that gets repossessed by a finance company halfway. Five quick checks catch almost all of these.

Check 1: RC, permit, fitness, insurance and PUC

Ask for the vehicle number and check:

  • RC (registration certificate): the truck is registered and the details match.
  • Permit: a valid goods permit (a national permit for interstate trips).
  • Fitness certificate (FC): the truck has passed its fitness test.
  • Insurance: valid motor insurance for the truck.
  • PUC: a valid pollution under control certificate.

You can check registration and validity details using the government's Vahan service or the mParivahan app with the vehicle number.

Check 2: driver name and licence

Note the driver's name and phone number, and make sure the driving licence is valid for that class of vehicle. Licence details can be verified through the government's Sarathi service. Keep the driver's number handy; you will need it if anything changes on the road.

Check 3: body, floor and tarpaulin

  • No holes or weak patches in the floor.
  • Side boards and doors close properly.
  • Tarpaulins are not torn, and there are enough of them for the load.
  • For containers: doors seal properly and there are no leaks.

Water damage from a torn tarpaulin is one of the most common causes of claims, especially for textiles, cartons and fertilisers.

Check 4: finance and loan status

Many trucks are bought on loan. If the owner falls behind on payments, the finance company can repossess the truck, sometimes in the middle of a trip, with your goods still loaded. The RC shows whether a truck is hypothecated to a lender; a trusted transporter goes further and checks that the loan is not in default.

The other side of this is paying truck owners on time. When owners are paid promptly, they have no reason to hold a delivery back over money.

Check 5: tracking switched on

Before the truck leaves, make sure there is a way to know where it is: GPS on the truck, FASTag toll records, or SIM-based tracking on the driver's phone (with consent), plus regular calls from the transporter's staff. Tracking does not just give you peace of mind; it lets problems be fixed early, like extending an e-way bill before it expires.

Frequently asked questions

How can I check if a truck's documents are valid?
Use the government Vahan service or the mParivahan app with the vehicle number to see registration and validity details for fitness, insurance and permits.
Why does the truck's loan status matter?
If a truck owner defaults on the loan, the lender can repossess the truck, even during a trip. Checking finance status protects your goods from being stuck.
Who should check the truck, me or the transporter?
A good transporter checks every truck before sending it. You can still ask for the vehicle and driver details and confirm them yourself.
